Booking Conditions

1. Bookings
You must be at least 18 years of age to book the accommodation at the Runaway Bay Sports and Leadership Excellence Centre (RBSLEC).

These Booking Conditions contain important information. It is essential that you carefully read and understand them. These Booking Conditions constitute a legally binding contract between you and RBSLEC. By submitting initial deposit payment of the full accommodation fee you acknowledge and accept that you have read and understood and that you will be bound by these Booking Conditions. Acceptance of your booking by RBSLEC will be confirmed by full payment and Accommodation Receipt. A contract comes into existence on the date shown on your Accommodation Receipt. Full booking details will be detailed on your attached quote.

2. Payment-Deposit
A minimum $500 deposit or 10% deposit of the total accommodation booking is required within 2 weeks of making the booking to secure specified rooms and/or lodges, meals and facilities detailed in the quote and invoice. Failure to pay by the due date specified in the deposit invoice will forfeit the booking. For accommodation bookings totaling under $500 full payment is required to secure booking A second deposit of 50% (includes accommodation, meals and facilities) is required 3 months prior to your arrival. Full payment is required 1 week prior to your arrival. Payment details are listed on the attached deposit invoice. We are of the understanding you agree to the terms and conditions once deposit payment is received. Payment of deposit invoice will secure booking. All prices are inclusive of GST (unless otherwise stated).

3. Allocation of Accommodation
Allocation of accommodation is at the discretion of the Centre Manager and is subject to the availability and suitability of accommodation for the booking group. The number of guests staying in a room is limited to the amount specified in the booking confirmation. If accommodation for additional guests is required please call 07 5500 9988

4. REASSESSMENT & CANCELLATION POLICY
Reassessments and cancellations must be made in accordance with the following table and provisions

WITHIN 14 DAYS FROM TIME OF BOOKING – DEPOSIT DUE
> Being 10% of Total Group Cost

90 DAYS PRIOR TO ARRIVAL
> Second instalment due (50% of total costs)
Scheduled facility use confirmed. Lodge/Room reductions may be made without charge

60-89 DAYS PRIOR TO ARRIVAL
> A 10% room reduction is allowed without charge. Any room cancellations in excess of this will incur a withholding fee 10% of cancelled Lodges/Rooms

30-59 DAYS PRIOR TO ARRIVAL
> A 10% room reduction is allowed without charge. Any room cancellations in excess of this will incur a withholding fee 30% of cancelled Lodges/Rooms

1-29 DAYS PRIOR TO ARRIVAL
> A 10% room reduction is allowed without charge. Any room cancellations in excess of this will incur a withholding fee 50% of cancelled Lodges/Rooms
> Condition of booking is final payment is required 7 DAYS PRIOR TO ARRIVAL

*Any decision made after the allocated (90/60 or 7) days, will revert to the next decision date. No combining of the ‘room reduction allowance’ is permitted.

 

Cancellation

WITHIN 61-90 DAYS TIME OF DEPOSIT PAID
> All monies forfeited

WITHIN 31-60 DAYS OF ARRIVAL
> Forfeit of 25% of Total Accommodation Charges and full deposit

WITHIN 8-30 DAYS OF ARRVAL
> Forfeit of 50% of Total Accommodation Charges and full deposit

WITHIN 7 DAYS PRIOR TO ARRIVAL
> Forfeit of deposit, 100% accommodation charges and 50% of total food and beverage charges.

• Reassessments must be received in writing

• Any cancellation fee must be paid within fourteen (14) days of notification to the RBSLEC

If you fail to check-in on dates in accordance with the booking made, or if you check-in but terminate your booking so as to depart the Centre at an earlier date, you will not be entitled to a refund of any amount.

6. Checking in
Check in time is after 2pm. Upon arrival, each guest will be required to sign the centres terms and conditions
and present their confirmation.

7. Check-Out
You must check out before 10.00am on the day of departure. The following fees will be charged for check out later than this time:
• $20 surcharge per hour for each hour after check out until 2.00pm; and
• full daily rate for the following day, if check-out is later than 2.00pm.

8. Liability
To the extent permitted by law, the centre:
• will not be liable for any losses, damages, liability, claims, expenses (including for negligence and whether direct, indirect or consequential) arising in connection with the Centre or the booking or, use of the Centre;
• makes no warranty or representations as to the fitness or suitability of the Centre and its facilities.
You will be responsible for the cost of any actions taken by you or your guests causing any loss, breakage of or damage to any equipment, accommodation or facilities of the Centre.

9. Rules and Directions
All guests must comply with:
• the Terms and Conditions of Use (outlined below)
• other rules of use displayed at the Centre (including the ‘House Rule’ document provided
on check-in)
• any reasonable directions of the Centre Manager, regarding the use of the Centre.

The Department reserves the right to change the Terms and Conditions of Use that apply to the use of the Centre at any time. The Centre Manager may eject from the Centre any person who, in his or her opinion, is behaving in a disorderly, disruptive or dangerous manner for such period as will be determined by the Centre Manager. At all times you are responsible for the behavior and actions of you and your guests at the Centre.

10. Use of information
You consent to and authorise the Department to collect, use and disclose your personal information for the purpose of administering your booking and providing you with any
services associated with your booking. The Department will not provide or disclose the information you have provided to the Department to any person outside the Department without your prior written consent unless required or permitted by law.

PLEASE NOTE: annual CPI price rise is due on 1st January 2016
PLEASE NOTE: there is a 10% surcharge for all Public Holidays

General
These terms and conditions are governed by the laws of Queensland. If any part of these terms or conditions is
determined to be invalid, unlawful or unenforceable wholly or to any lesser extent, such terms or conditions shall be severed from the remaining terms and conditions.

 

Terms and Conditions of Centre Use

12. Areas off Limits
Guests are strictly not to enter:
• Group accommodation areas;
• Swimming Pool unless booked through the accommodation department;
• Gym unless organised through the accommodation department;
• track and field unless booked through the accommodation department
• Members bathrooms area;
• Equipment Storage areas;
• Eurest Kitchen; and
• Other restricted areas as signed for safety reasons.

13. Parking
On-site parking is subject to availability (a maximum of 2 cars per lodge is permitted). Car parks are not allocated. In-house guests must park in the front carpark or western carpark area.

Prohibited Items
The following items are not allowed within the Centre: Firearms, Fireworks, prohibited substances, offensive items, illicit drugs, toxic substances, weapons, pets/animals and unauthorised visitors.

The following items are not allowed to be used within the Centre: Bicycles, Mini-Scooters, Skateboards/blades/roller-skates.

14. Cleaning
You must keep the room tidy and in good order. If additional cleaning to the room (above the normal level of cleaning) is required then you will be charged the cost of that additional cleaning, which will be a debt due and owing to the Department
as stated on the ‘House Rules’ document.

15. Damages or Breakages
You must report any damages or breakages to the room or Centre to reception or duty manager and may be charged for damages or breakages incurred during your stay. You will be provided with an invoice for these charges which will be a debt due and owing to the Department.

16. Swipe Card and Keys
Your swipe card and/or key must be returned on check out. Any lost or damaged cards/keys will incur a $20 charge.

17. Smoking / Consumption Of Alcohol
Smoking is not permitted within the Centre (including all buildings and grounds). Alcohol may not be brought into or consumed in any areas of the Centre, including all buildings and grounds.

18. Swimming Pool
Guests must book pool through the accommodation department and access the swimming pool during published hours of operation. All guests under the age of 18 years must be accompanied and supervised by a responsible adult. Guest’s use of the pool is at their own risk.

19. Gym Use
Guests must book gym sessions through the accommodation department and access the gym during published hours of operation. All guests must be over 13 years of age to use the gym and children under 18 years must be accompanied and supervised by a responsible adult. Guest’s use of the gym is at their own risk.

19. Traveller Accommodation Providers (Liability) Act 2001
To the extent permitted by law, the Department will not be liable for any loss or damage of guest property. Guests are responsible for ensuring that the security and safety of their property at all times.

20. Unaccompanied Minors
All guests under the age of 18 must be accompanied by a responsible adult. If a guest is found to be a person under the age of 18 who is not accompanied by a responsible adult, the Department may immediately cancel the guest’s booking and the full booking amount will be forfeited to the Department.
